From a photo of an invoice to a spreadsheet
Someone emails a photo of a supplier invoice and asks for the line items in a sheet. There is no text layer. Dropping that photo on PDF to Excel produces an empty or useless workbook, because that tool reads words that are already in the file.
The path that matches this site is: make a PDF page from the photo, read the print with OCR, then build the sheet from text you have checked. Each of those is a separate tool.
Make a straight page first
Open Scan to PDF, or Image to PDF if the photo is already on the device. Fill the frame, keep the page flat, and avoid a bright glare across the totals. A crooked photo will not be repaired by the next step.
Scan to PDF does not read the words. It only stores the picture. Download that PDF before you continue. If you close the tab, the working copy is gone.
Read the print, then stop and proof it
Open OCR PDF and drop the scan. The tool loads an English Tesseract model in the page. The first run may download that model. It reads at most 8 pages, then stops. A 20-page scan will not all be transcribed.
OCR returns text, not a perfect grid. Read the invoice number, the date, and the amount due against the photo. Handwriting, a stamp over a total, and a page shot at an angle come out wrong. Fix those by hand. Do not paste an unchecked OCR dump into a payment.
Only then make the spreadsheet
If the OCR text is good enough and you still have a PDF with a real text layer, PDF to Excel can place rows into cells. A photo that never gained a text layer will not. Many people in this situation are faster retyping ten rows than cleaning a scrambled sheet.
Open the .xlsx and check that each column still means what it did on the paper: description, quantity, price. A comma inside a description is a common place for a column to shift. The 25 MB per-file limit applies. A batch of invoices can be 100 MB in total.
What this walkthrough will not do
It will not match an accounts package, keep formulas, or certify the figures. It will not read languages other than printed English. If the invoice is a fillable PDF that already has selectable text, skip the camera and OCR and start at PDF to Excel.
If a step on this site disagrees with what you downloaded, write to support@pi2pdf.com with the tool name and the browser. Say it was a photo of an invoice. You do not need to attach the supplier’s document for us to correct the guide.
